Who we are
Impress Travel is an independent travel agency based in Dibden Purlieu, the New Forest. For the personal information described on this page, Impress Travel is the data controller. This means we decide why and how that information is used.
You can contact us at info@impresstravel.co.uk or on 07971 406855.
Information we collect
When you submit an enquiry through this website, we collect the information entered into the form so that we can respond to your request and discuss your travel plans.
Depending on how you use our services, we may collect:
- Your name, address, email address and telephone number.
- Information about your travel plans, preferences, budget and previous enquiries.
- Traveller details needed to request quotes or make bookings, such as dates of birth, passport information, nationality and emergency contacts.
- Payment and transaction information. Card payments may be handled directly by a payment provider or travel supplier, and we do not retain full card details unless this is necessary and handled securely.
- Information you choose to provide about health, accessibility, dietary or other requirements. We only use sensitive information where it is necessary for your travel arrangements and we have an appropriate legal basis.
- Correspondence, call notes, booking records, feedback and complaints.
- Basic technical information recorded by our hosting provider, such as IP address, browser type, requested pages, date and time, for security and service operation.
Where you provide information about another traveller, you should make sure they know you are doing so and direct them to this page.
How and why we use your information
| Purpose | Our usual lawful basis |
|---|---|
| Responding to enquiries, preparing proposals and taking steps towards a booking | Taking steps at your request before entering into a contract |
| Making and administering bookings, taking payment and providing support | Performance of our contract with you |
| Keeping financial, tax and regulatory records | Compliance with legal obligations |
| Managing our business, improving our service, preventing fraud and protecting our systems | Our legitimate interests in operating a secure and effective travel agency |
| Using health, accessibility or dietary information needed for your arrangements | Your explicit consent, or another condition permitted by data protection law where applicable |
| Sending direct marketing where offered | Your consent, or legitimate interests where the law permits |
We do not use solely automated decision-making or profiling that produces legal or similarly significant effects.
International transfers
Travel arrangements often require information to be sent to suppliers outside the United Kingdom. The destination country may not provide the same level of data protection as the UK. Where data protection law requires safeguards, we will use an approved transfer mechanism or another lawful exception. Some transfers are necessary to perform your booking contract or make arrangements at your request.
You can ask us for more information about the safeguards used for a particular booking.
How long we keep information
We keep personal information only for as long as it is needed for the purpose for which it was collected. We consider the status and length of our relationship with you, the sensitivity of the information, supplier and insurance requirements, limitation periods, and our tax, accounting and other legal obligations. When information is no longer required, we delete it securely or anonymise it.
How we protect information
We use appropriate organisational and technical measures designed to protect personal information against accidental loss, unauthorised access, alteration or disclosure. Access is limited to people and service providers who need the information for legitimate business purposes.
No internet or email service can be guaranteed completely secure. Please do not send payment-card details or unnecessary sensitive information by ordinary email.
Your data protection rights
Depending on the circumstances, you may have the right to:
- Ask for a copy of your personal information.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete information or restrict how it is used.
- Object to particular uses of your information.
- Receive certain information in a portable format.
- Withdraw consent at any time where we rely on consent. This does not affect processing already carried out.
These rights are not absolute and may depend on our lawful basis and legal obligations. We may need to confirm your identity before responding. Contact us to make a request.
Contact and complaints
For questions, rights requests or a complaint about how we use personal information, contact Impress Travel at info@impresstravel.co.uk or 07971 406855. Please explain your concern and provide enough information for us to investigate it.
If you remain dissatisfied, you have the right to complain to the Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint or call the ICO on 0303 123 1113.
